Phone Answering Service

1: Customers Call

PATLive provides you with a toll-free or local number that connects directly to our live receptionists -- each of whom have passed our rigorous training process and are ready to handle your specific needs.

We will work with you to design a script that our receptionists use to answer your calls. They will get to know you and your business in order to best serve your customers.

You may also choose different options that will allow you to utilize our services in the optimal manner.

Call forwarding
You can use one of two popular types of call forwarding, no answer forwarding or manual call forwarding. Both of these must be set up through your local phone company. We still provide you with a local or toll-free number, and you forward your existing phone number to the new number we provide.

  • Busy, or no answer forwarding - Most service providers allow a call to be forwarded to our local or toll-free number in the event that your line is busy or not answered in a set number of rings. This is ideal for businesses who are not available 24 hours a day and don't want to leave unanswered calls to a machine.
  • Manual call forward - Set a manual call forward on your phone at any time. This presents a flexible option for those who only need calls answered occasionally or on a changing schedule.
2: Receptionist Answers

When our receptionists answer calls to your business, they are prepared to serve your business in the best way possible. We ensure this through three methods:

  • The right people - We choose friendly people here in the United States. All of our receptionists must pass interviews, tests, and background checks.
  • Highly trained - Our receptionists receive several weeks of instruction that is administered by our own highly trained, in-house team. It includes classroom study and practice calls.
  • Employing a friendly and professional manner - Our goal is to treat your customers the way we would want to be treated ourselves. A simple "how is your day" or showing a little sympathy can go a long way on a customer service call.

3: Actions Taken

While just having a live person answering the phone can make a huge difference, we don't stop there in providing a top-notch live answering service. Here are some of the things we can do to help your customers:

  • Take messages - Our receptionists take down basic information such as the callers' name, number, and best time to reach them. Our receptionists act just like an in-house personal assistant.
  • Transfer calls - If you want to give the caller the option to talk to you directly, we can transfer the call. We perform both warm and cold transfers.
  • Order entry - Our receptionist can take orders from your customers right over the phone. If you have a Web site that has a simple ordering process, we can link directly to it for easy order fulfillment.
  • Schedule appointments - Let us know what days and times you are available, and we will schedule an appointment on your behalf. For an extra dollar a day you can use our online appointment scheduling software. This robust software can handle all of your appointment needs.
