1: Customers Call

Use our number
We provide your business with a toll-free or local number for use on your marketing materials and website. If you’re planning to have our live receptionists answer all your calls, this is your best option.

Call forwarding
If you’re thinking about forwarding calls from your existing number, we still provide you with a toll-free or local number and then your local phone company can setup the forwarding to the new number we provide. Most local providers allow two different forwarding options.

  • Busy or no answer forwarding - This option allows calls to roll over to our call center when your line is busy or you are unable to answer after a certain number of rings. This option is best if you always want your callers to reach a live person, even when you’re not available.
  • Manual call forward - Many providers allow you to control when your calls are forwarded. With this option you can activate and deactivate forwarding at anytime, typically with specific key entries like *72. This option is for businesses that only want a virtual receptionist occasionally, or have a changing schedule.

3: Actions Taken

Having a friendly and knowledgeable live person on the phone is the first step, but we know that up to half of your callers will hang up if they feel like their problem isn’t getting solved. Here are some of the things our live operators can do to help your customers:

  • Take messages - Our receptionists can act as your in-house personal assistant and let callers know that you are not available but will follow up with them soon. We will record basic information like the callers’ name, number, message and best time to reach them so all you have to do is follow up.
  • Transfer calls - If you want your callers to reach you directly our operators can transfer the call. We can let you know who’s calling before the transfer or just send the call straight to you.
  • Order entry - Our receptionists can take orders right over the phone. If you have a Web site that has a simple ordering process, we can link directly to it for easy order fulfillment.
  • Schedule appointments - We can know your schedule and collect appointment times from callers, so you just need to call back and confirm.
